WorldTek Travel and Event Management (“WorldTek”, “WTT”, “we”, “our”, or “us”) respects your privacy and is committed to protecting your personal data. This Privacy Policy Statement (“Privacy Policy”) describes how we collect, use, store, share, and protect personal data in connection with our global travel management, meeting planning, production, creative/design, sourcing, incentives, conferences, and events services, including through our websites and applications that link to this Privacy Policy (collectively, the “Services”).
This Privacy Policy applies to personal data we process as a controller or as a processor on behalf of corporate clients. When we act as a processor for your company (“Company”), we process data according to the Company’s instructions and their privacy notice also applies. Once you leave our websites or applications, the privacy policies of those other sites apply.
We encourage you to read this Privacy Policy carefully. By using our Services, you acknowledge the practices described here. Our practices vary by jurisdiction to meet local legal requirements, including the EU General Data Protection Regulation (GDPR), UK GDPR, California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), and other applicable U.S. state and international privacy laws.
Personal Data We Collect
Personal data means any information that identifies or can be linked to you. We may collect:

• Traveler or attendee arranger and emergency contact details
• Travel and meeting preferences and details (itineraries, class of service, seat preferences, frequent flyer and loyalty data, meal preferences, hotel/rail/car preferences, special accommodation requests)
• Travel documentation (passport, visa, or driver’s license numbers, TSA/Known Traveler Number, citizenship, date of birth, gender)
• Payment and banking information (corporate or personal payment cards)
• Technical and account data (logins, user IDs, passwords, IP addresses, device information, browsing and usage data)
• Other information you provide via profiles, surveys, or communications
We collect this data from you directly, from your Company or its authorized third parties, from travel suppliers and service providers in our network (airlines, hotels, GDSs, payment processors, etc.), and automatically through our websites and applications (including cookies and similar technologies).
How We Use Personal Data and Legal Bases
We use personal data only for specified, explicit, and legitimate purposes:
• To provide and administer the Services, fulfill reservations, manage travel and events, issue tickets, and meet our contractual obligations to you or your Company
• To communicate with you, provide customer service, and send service-related notices
• To personalize your experience and improve our Services and websites
• To fulfill requests from you or your Company (reporting, audits, data subject requests)
• To send marketing communications and personalized offers where permitted or with consent
• To generate anonymized or aggregated statistics for analytics, benchmarking, and service improvement
• To protect our rights, prevent fraud, ensure security, and comply with legal obligations
Under GDPR/UK GDPR, our legal bases include performance of a contract, legitimate interests (balanced against your rights), legal obligation, and consent (where required, such as for certain marketing or special-category data). Under CCPA/CPRA and similar laws, we process personal information for the business purposes described above. We do not process personal data in a manner incompatible with these purposes.
We treat passport numbers, certain government identifiers, and any special-category data (such as health-related accommodation requests or sexual orientation if provided) with heightened care and process them only when necessary and with an appropriate legal basis.
Who We Share Personal Data With
We share personal data only as needed:
• With our affiliates, subsidiaries, partners, subcontractors, and agents to deliver the Services
• With service providers who support our operations (technology, storage, analytics, payment processing, fulfillment) under appropriate contracts

• With travel suppliers and third parties necessary to complete bookings and arrangements (GDSs, airlines, hotels, car rental companies, visa providers, etc.)
• With third parties you or your Company specifically request
• With professional advisors, successors in a merger or acquisition, or as required by law, legal process, or to protect rights and safety
We do not sell personal information for monetary consideration. We may “share” personal information for cross-context behavioral advertising in limited cases; California residents and residents of certain other states may opt out of such sharing. We honor Global Privacy Control (GPC) signals and other legally required opt-out preference signals.
International Transfers
Personal data may be transferred to and processed in countries outside your country of residence, including countries that may not provide the same level of data protection. When we transfer personal data from the EEA, UK, or Switzerland, we use appropriate safeguards such as the European Commission’s Standard Contractual Clauses (2021), the UK International Data Transfer Agreement/Addendum, the EU-U.S. Data Privacy Framework (where applicable), adequacy decisions, and supplementary measures as needed. We store personal data on systems managed by us and by trusted third-party providers. We implement appropriate technical and organizational security measures designed to protect personal data against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure. Please do not send credit card details or highly sensitive information by unsolicited email. Keep your passwords confidential and log out of shared devices.
How Long We Keep Personal Data
We retain personal data only as long as necessary to fulfill the purposes described in this Privacy Policy, comply with legal, accounting, or reporting requirements, resolve disputes, and enforce agreements. Retention periods vary by data type and legal obligations. When retention is no longer required, we delete or anonymize the data.
