Thank you for supporting IATA’s 2011 AVSEC World! Below please find some important and time sensitive information for your preparations in regards to the upcoming event:

PARTICIPATION INFORMATION due upon receipt of Kit

  • AVSEC Company Directory Listing – submit to Jill Schaefer at jill.schaefer@worldtek.com
  • Payment for Exhibit Space – At this time your invoice should have been received by the directed representative at your company.  If it has not, please email iata@worldtek.com.  Please note that payment is due upon receipt of the invoice. Onsite event management reserves the right to withhold set up of space and access to the exhibition area for those whose invoices have not been paid in full. If you have pay by bank transfer, please provide the bank transfer confirmation so that we can identify your payment and apply to your invoice.

EVENT REGISTRATIONS & HOTEL RESERVATIONS due by 8 September 2011

Be sure to register for following applicable passes online at https://ems.resrunner.com/AVSEC11

  • Exhibitor and Sponsor Passes – total of complimentary passes are 2 per 3m x 3m booth or per contract. Select “Attendee Type” of Exhibitor/Sponsor and enter “Discount or Promo Code” that has been supplied to you by the accounting department.
  • Additional Exhibitor Passes can be obtained at USD $1795 + VAT.

** All Exhibitor passes will be allowed to attend the AVSEC World conference sessions, exhibition and all evening functions.

SHOW CONTRACTOR & STAND or BOOTH ORDERS

The Works BV has been designated as the show contractor for AVSEC World 2011. Please reference their online exhibitor manual for all stand or booth order forms and details. The Works Exhibitor Manual

EXHIBIT MOVE IN & MOVE OUT

Large Deliveries via truck must be made on Saturday, 30 October or Monday, 1 November. No deliveries will be accepted on Sunday, 31 October.

Above schedule is subject to change, but all contacts will be notified.

**Exhibitors are not allowed to start disassembling their stands before 13:30 on the last day of the conference & exhibition due to safety and experience of other delegates. Since the exhibit hall is located in the main traffic area of the Congress Center, this rule will be strictly enforced. Should any exhibiting company break this rule, a USD $500 penalty fee will be charged to their 2010 contract or to their 2011 contract.

EXHIBITORS’ EVENING IN THE EXHIBIT HALL

Wednesday, 3 November 2010
18:00 – 20:00

The AVSEC Exhibition hall will be open late on Wednesday night to allow Exhibitor’s to invite up to 10 guests on a complimentary basis to visit them at their stands.  In order to take advantage of this evening activity, exhibitors must RSVP with Christina.baskaya@worldtek.com.  Each exhibitor will be responsible for inviting their 10 guests, completing their details in the below database and submitting them to Christina by 15 October.

Please note, that the exhibit hall will not be closed to AVSEC delegates during this time and unattended stands will not necessarily be monitored by security personnel until after 20:00.

Car:

On the motorway, follow the signs “Westkreuz Frankfurt” and “Messe” and then the signs “Stadtmitte / Congress C”. Enter the Theodor-Heuss-Allee and then turn right into the entrance of the Congress Center parking garage or turn left to the entrance of the Marriott hotel. Frankfurt Low Emission Requirements

Please note that an environmental badge for cars and trucks in the green zones of German cities is required also for foreigners. For further information, please contact the hotel or convention center.
